Morris Administrative Assistant

OVERVIEW

Responsible for client service functions for the front desk. Provides high-level administrative support for team members by handling information requests, performing clerical functions, and completing special projects. Creates a welcoming and professional atmosphere by being proactive, optimistic, and supportive. Be flexible to meet the needs of clients and firm. Seasonal overtime is required.

RESPONSIBILITIES
  • First point of contact and resource for clients
  • Responsible for answering phones, client service, maintaining a welcoming environment for clients
  • Awareness of team members schedules
  • Schedule appointments and maintain calendars
  • Update and maintain client data
  • Process incoming and outgoing mail, UPS, and other mailings as assigned
  • Perform administrative functions such as filing, typing, copying, binding, scanning, etc.
  • Distribute newsletters and faxes
  • Process 1099s and W2s, tax returns, financial statements, and audit reports
  • Manage information with the highest level of confidentiality
  • Manage and prioritize multiple projects
  • Client phone call reminders
  • Assist with projects from other offices as assigned
  • Run occasional errands
  • Light cleaning and organization of front areas, conference rooms, etc.

  • Attend Continuing Professional Education to develop your interpersonal skills and professional expertise
  • Perform other duties as assigned
QUALIFICATIONS
  • AA degree and/or experience as an Administrative Assistant
  • Detail oriented
  • Effective, timely, and professional communication skills
  • Flexible team player who is also able to work independently
  • Ability to maintain confidentiality
  • Desire to continue to develop and enhance skills
  • Exceptional time management skills, ability to organize and prioritize projects and meet deadlines
  • Optimistic
  • Strong computer aptitude
