OVERVIEW

Responsible for client service functions for the front desk. Provides high-level administrative support for team members by handling information requests, performing clerical functions, and completing special projects. Creates a welcoming and professional atmosphere by being proactive, optimistic, and supportive. Be flexible to meet the needs of clients and firm. Part-time schedule through April, but have the opportunity for additional hours.

RESPONSIBILITIES
  • First point of contact and resource for clients
  • Responsible for answering phones, client service, maintaining a welcoming environment for clients
  • Awareness of team members schedules
  • Schedule appointments and maintaining calendars
  • Update and maintain client data
  • Process incoming and outgoing mail, UPS and other mailings as assigned
  • Perform administrative functions such as filing, typing, copying, binding, scanning, etc.
  • Assist with organizing and assembling 1099s, W2s, and tax returns
  • Manage information with the highest level of confidentiality
  • Manage and prioritize multiple projects
  • Client phone call reminders
  • Assist with projects from other offices as assigned
  • Light cleaning and organization from front areas, conference rooms, etc.
  • Run occasional errands

  • Perform other duties as assigned
QUALIFICATIONS
  • Knowledge of Microsoft Office, will train for using additional in-house software
  • Effective, timely, and professional communication skills
  • Flexible team player who is also able to work independently
  • Ability to maintain confidentiality required
  • Desire to continue to develop and enhance skills
  • Exceptional time management skills with an ability to organize and prioritize projects, and meet deadlines
