Our Administrative Assistant/Receptionist position is a full time position with seasonal overtime. We are looking for a friendly, confident, professional and optimistic team member who enjoys interaction with clients and staff. This position provides high-level administrative support by welcoming clients, handling information requests, performing clerical functions, and completing special projects.

Job Description

Summary of Responsibilities

Responsible for client service functions for the front desk. Provides high-level administrative support for Partners and staff by handling information requests, performing clerical functions and completing special projects. Thinks ahead, creates an atmosphere of welcome, service responsiveness and professionalism.

Essential Functions

  • First point of contact and resource for clients
  • Responsible for receptionist duties including answering phones, client service, maintaining a welcoming space for clients, offering refreshments and directing clients
  • Awareness of Partner and staff schedules
  • Scheduling appointments
  • Updating client data in software programs
  • Processing incoming and outgoing mail, UPS and other mailings as assigned
  • Distribute newsletters and faxes
  • Effective communication and transfer of work between administrative assistant positions
  • Processing of 1099s and W2s, tax returns, financial statements and audit reports
  • Composes correspondence
  • Manages information with the highest level of confidentiality
  • Handles a high volume of work with accuracy, maintains flexibility and efficiency to deal with changing priorities
  • Interacts with associates at all levels of the organization in a gracious and supportive manner
  • Other duties as assigned by Partners and staff

Working Conditions

  • Full time schedule during regular business hours, overtime required, with possible weekend work during busy season
  • Willmar office

Education, Experience, and Skills Required

  • AA degree and/or experience as an Administrative Assistant
  • Knowledge of Microsoft Office, will train for using additional in-house software
  • Ability to perform several tasks concurrently with ease and professionalism
  • Ability to operate computer and other office equipment
  • Excellent communication and organizational skills, friendly and detail oriented, ability to prioritize tasks
